1. Scope of application
These General Terms and Conditions (GTC) apply to all events organized by the Gutenberg Academy (GA) and its divisions (GSHS, Network NatLife, GAFP). The personal scope of application covers all participants.
2. Registration procedure
Registration for events takes place online via the GA’s continuing education portal. After reviewing the admission requirements specified in the event description and processing the registration, the GA will send a confirmation of receipt.
When allocating seats, the order of registration and educational criteria may be taken into account. For individual events, certain target groups may be granted priority access without this being specifically indicated in the event announcement.
Acceptances or rejections will be communicated in a timely manner before the event begins. At that time, participants will receive a binding confirmation of registration as well as additional information necessary for participation.
In the event that participation is not possible after all due to unforeseen circumstances, please notify us immediately so that the spot can be reassigned to alternates as soon as possible. For events that require a fee, the cancellation policy must be observed (see below under 4.)
Following repeated unexcused absences, cancellations made at very short notice (less than five business days before the start of the event) without a valid reason, such as illness, or other violations of these General Terms and Conditions, GA reserves the right to suspend admission to future events for a limited period of time.
In principle, there is no legal entitlement to admission to an event.
3. Event requirements
3.1. For an event to take place, a minimum number of participants is generally required, which is determined separately for each event. If this number is not reached, GA reserves the right to cancel the event after the registration deadline.
3.2. In the event of last-minute cancellations by speakers or force majeure, GA reserves the right to hold the event with a different speaker or on a different date, or to cancel it in exceptional cases. In the event of a change in speakers or a rescheduling, registered participants are entitled to withdraw their registration. If the event was subject to a fee, GA will refund the participation fee. Participants have no further claims.
4 Participation fees and cancellation conditions
Events are generally free of charge for participants, unless otherwise stated in the event description.
For events that require a fee, the exact payment and cancellation terms can be found in the respective event announcement or registration confirmation.
5. Event documents
5.1. Seminar materials (handouts, presentations, and other materials provided during our events) are protected by copyright and may not be reproduced or used for commercial purposes, even in part, without the written consent of the respective speaker or other copyright holders. This also applies to materials provided by participants for the purpose of collaborative work during the workshop or created during the workshop.
5.2. Participants are granted the non-exclusive right, unrestricted in terms of time and place, to use the seminar materials provided to them in accordance with their intended purpose for the purpose of their own professional development.
5.3. Participants are entitled to make a backup copy of seminar materials provided in paper form. Any further reproduction is not permitted.
5.4. If seminar materials are provided to participants in electronic form, they are authorized to reproduce them to the extent that such reproduction is technically necessary to open and view the materials. In addition, participants may create a backup copy of seminar materials provided in electronic form and print a single hard copy. Any further reproduction is prohibited.
6. Image, sound and video recordings
The creation of photographic, audio, and video recordings is permitted only with the prior consent of the respective speaker and all persons participating in the event; in doing so, copyright, privacy, and data protection considerations must be taken into account. Photographs, audio, and video recordings made after consent has been granted may be used exclusively for personal documentation purposes. Any other use, in particular public use, is prohibited.
7. Confidentiality
Our events take place in a safe and confidential setting where participants openly discuss a wide range of professional, research-related, and, in some cases, personal topics. Information shared by participants or speakers during our events—particularly information of a personal nature—must be treated as confidential and may not be disclosed to third parties. Likewise, it is prohibited to use, disclose, or present as one’s own work any ideas, concepts, or research approaches expressed in writing or orally without the explicit consent of the author. Each participant is responsible for respecting the integrity and authorship of the content shared during the event.
